Who operates the service

Frost Command is an independent beta service operated through frost-command.com. It is not affiliated with or endorsed by Century Games, Whiteout Survival, Discord, OpenAI, or their affiliates. For privacy requests, contact support@frost-command.com.

Data we process

• Account identity: the name, email, provider identifier and avatar supplied by ChatGPT or Discord when you choose that sign-in method.
• Clan workspace data: clan names, roles, invitations, officer decisions, event plans, participation replies, attendance and audit records.
• Game profile data: reviewed player names, public Chief IDs when officers add them, power, contribution and Bear results, aliases and membership history.
• Import data: reviewed structured rows, import timing and recovery metadata. Frost Command does not persist uploaded screenshot files after recognition.
• Technical data: essential session cookies, request timestamps and limited operational logs needed for security and reliability.
• Discord integration data: Discord user and server identifiers, enabled channel, responses and delivery evidence needed for the features a clan enables. Discord access tokens are not retained after sign-in.

Why we process it

We process data to provide the workspace requested by users, keep clan access scoped correctly, extract and review game rankings, preserve player identity, coordinate events, send enabled Discord reminders, prevent abuse, recover failed imports, and meet legal obligations. Where applicable, the legal basis is performance of the requested service, legitimate interests in operating and securing it, consent for optional integrations, or compliance with law.

Service providers

• OpenAI: authentication and screenshot recognition. Recognition requests use storage-disabled settings; third-party processing remains subject to the applicable OpenAI terms.
• Cloudflare: hosting, database, object-storage compatibility and network security.
• Discord: optional login, bot installation, channel delivery and signed interaction responses.

We do not sell personal data, use it for targeted advertising, or use Discord API data outside the features described here.

Retention

Structured activity observations are normally retained for 90 days. Account, clan, import-ledger, audit, identity and event records may remain while the workspace needs them for access, integrity, recovery or legal purposes. Uploaded screenshot files are discarded after recognition and are not kept in Frost Command storage. Data is deleted or de-identified when it is no longer needed, subject to backup, security, dispute and legal-retention requirements.

Your choices and rights

You may disconnect optional Discord access, ask a workspace owner to correct clan records, and request access, correction, export or deletion of personal data by contacting support. We may need to verify account or Chief-ID ownership before acting and may preserve records that are required for security, legal compliance, other users’ rights or the integrity of a shared clan audit history.

Security and age

Frost Command uses clan-scoped permissions, signed sessions, least-purpose provider access and encrypted platform services. No online system can guarantee absolute security. Do not submit passwords, OAuth codes, bot tokens, financial data, health data or other sensitive information. Users must meet the minimum age required by their sign-in provider and local law.

This beta policy may change as the product and its providers change. Material changes will be posted here with a revised date.
